The company is projected to expand to other East Coast locations within five years and have a national presence within 10 years and become publicly traded. We are seeking a dedicated team member who is aligned with the company’s overall mission and desires to be an integral part of our expansion.

A Wedding Loft at AWL Creative is a unique event venue in the heart of downtown Leesburg, and hosts everything from bridal/baby showers to corporate retreats. AWL Creative’s Event Associate role is the primary, day-of point of contact for all private events, reporting directly to the Events Manager. This is a part-time, weekend, hourly, in-person position.


Responsibilities
The Event Associate will oversee all private events that are hosted at AWL Creative. This position will be responsible for letting the event hosts and their vendors into the space, being accessible throughout the event should they need anything, and cleaning up the space post-event. This is not an event planning or event coordinating role.


Goals and Objectives
   • Oversee privately hosted events in our space
   • Ensure event hosts adhere to our policies and procedures
   • Return the space to normal for day business operations

Requirements
Must be able to work weekends. This position is weekends-only; Shifts are dependent upon scheduled events.

Must provide own transportation. This position will work in our physical downtown Leesburg building and must be able to physically come into work. Please Note: Due to the historic nature of our building, we are not ADA-accessible.

This is an hourly position.

AWL Creative’s Styled Shoot Coordinator role is the primary point of contact for event participants and is responsible for planning and executing styled shoot events, reporting directly to the Events Manager. This is a part-time, commission-based and hybrid position. 


Goals and Objectives
  • Illustrate AWL Creative’s core values and strive to achieve our mission;
  • Build and nourish a supportive, empowering environment amongst event participants and by building valued relationships with vendors;
  • Ensure styled shoot events run smoothly on day-of;
  • Using data analytics to determine KPIs, industry and market trends, campaign successes, and participant feedback


Responsibilities
The Styled Shoot Coordinator will work with the marketing team and freelance talent (photographers, venues, vendors, models, event participants, etc.) in all matters related to each shoot. This position will be responsible for brainstorming, scheduling and managing shoot calendars, responding to shoot requests, and confirming participation and schedules with all parties involved, in addition to day-of execution. 
 
Planning
  • Scout possible locations that align with the design team’s creative vision
  • Contact and secure permission to shoot on location from proper owners/authorities, accurately describing and communicating shoot needs and on-site personnel
  • Provide support for event registration by fielding and answering all incoming questions from participants, prospective participants and participating vendors
  • Coordinate creative direction between vendors and participants
  • Process and track all planning efforts including but not limited to venue and style selection, day-of agenda, gallery delivery and marketing efforts
  • Hire and confirm event talent, vendors as needed, ensuring all legal agreements and contracts are complete
  • Proactively troubleshoot problems, identify root causes, and appropriately resolve and improve participant experience
  
   Operations and Coordination
  • Build interest, engagement and revenue through nourishing online social platforms
  • Ensure an easy registration and day-of experience for event participants through proactively engaging with participants pre, during, and post events
  • Provide overall support for the Marketing Team in relation to styled shoot marketing platforms
  • Maintain AWL Creative's mission and brand aesthetic through the promotion of a welcoming, supportive educational environment for all participants
  • Responsible for planning, promoting and execution of event within projected event budget


Qualifications
  • At least four (4) years of Event Planning experience
  • Experience in sales and/or marketing preferred
  • Must be highly organized with the ability to prioritize multiple tasks with tight deadlines
  • Must have the ability to communicate clearly with team members, ticket holders, venues partners/vendors and senior management
  • Ability to work with scheduling/booking/payment/ reporting software
  • Detail and data-oriented

  • Experience using Google Drive, Google Work Tools and CRM dashboards

This position currently offers a virtual work option during the planning stage of each event; in-person participation is required during events.
